This Privacy Policy explains how Emilyn AI Ltd ("Emilyn AI", "we", "us" or "our") collects, uses, stores and protects your personal data when you visit emilyn.ai, contact us, message our AI assistant on WhatsApp, or use our services. We are the "data controller" responsible for your personal data.
Emilyn AI Ltd is a company registered in England & Wales. If you have any questions about this policy or how we handle your data, contact us at:
Depending on how you interact with us, we may collect:
Under UK data protection law we must have a "lawful basis" for using your personal data. We use your data to:
| What we do | Lawful basis |
|---|---|
| Respond to your enquiry, trial request or proposal | Consent / taking steps to enter into a contract |
| Provide, set up and support your Emilyn AI services | Performance of a contract |
| Communicate with you about your account or requests | Legitimate interests / contract |
| Improve our website, services and AI assistant | Legitimate interests |
| Send you relevant updates or offers (existing customers) | Legitimate interests / consent |
| Meet our legal, accounting and tax obligations | Legal obligation |
Where we rely on consent, you can withdraw it at any time. Where we rely on legitimate interests, we make sure your rights aren't overridden by what we're doing.
When you message us or our AI assistant "Emilyn" on WhatsApp, your messages are delivered through WhatsApp, which is provided by Meta Platforms. Your use of WhatsApp is also governed by Meta's own terms and privacy policy. We use the information you send us to respond to you, demonstrate our service, and — if you become a customer — to set up and run your assistant. Please avoid sending sensitive personal information through chat unless it is necessary.
We do not sell your personal data. We share it only with trusted providers who help us run our business, including:
We keep personal data only for as long as we need it:
| Type of data | Retention period |
|---|---|
| Enquiries & leads (where you don't become a customer) | Up to 24 months from our last contact, then deleted |
| Customer records | For the duration of our services to you, plus 6 years afterwards to meet UK accounting and tax requirements |
| Website / technical logs | A short period in line with our hosting provider's settings |
When we no longer need your data, we securely delete or anonymise it.
Some of our providers (for example Meta / WhatsApp) may process data outside the UK. Where this happens, we rely on appropriate safeguards — such as UK "adequacy" decisions or standard contractual clauses / the UK International Data Transfer Agreement — so your data remains protected.
Under UK GDPR you have the right to:
To exercise any of these rights, email emilyn@emilyn.ai. We'll respond within one month.
We use appropriate technical and organisational measures to protect your personal data against loss, misuse and unauthorised access. No online service can be 100% secure, but we work to keep your information safe and to review our measures regularly.
Our website uses a small number of cookies and similar technologies to make the site work and understand how it's used. Some third-party content we embed — such as fonts (Google Fonts) and video (YouTube) — may also set cookies or collect limited data when you view it. You can control cookies through your browser settings.
We may update this Privacy Policy from time to time. When we do, we'll change the "Last updated" date at the top of this page. Please check back occasionally.
If you're unhappy with how we've handled your personal data, please contact us first at emilyn@emilyn.ai so we can put things right. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk.
